Cost moves with screens, roles, business-rule complexity, integrations (accounting, SMS, payments, logistics), mobile needs, reporting, and security expectations. A simple internal board is not the same job as multi-branch field + inventory + cash.
Often-missed costs: data migration, training, testing, go-live support, hosting, and maintenance. If they are absent from a quote, they tend to appear later as extras. A “cheap” quote may simply be a smaller scope in disguise.
Budget with phases: Phase 1 core flow, Phase 2 reporting/automation, Phase 3 polish and extra integrations—each with acceptance criteria.
